About the Role
Darmont GivesBack is hiring an Administrative Officer to support the daily operations of our organization and the delivery of our community programs. This is an excellent opportunity for a detail-oriented individual who wants to gain hands-on administrative experience in a not-for-profit setting while making a meaningful contribution to the Brant community.
Key Responsibilities
- Organize and maintain digital filing systems, prepare documents, and assist with printing, scanning, and distributing correspondence.
- Answer phone calls, take messages, respond to basic inquiries, and assist with email communications.
- Help maintain communication tools such as notice boards, calendars, and internal messaging platforms.
- Assist with planning and delivering programs, mentoring sessions, training workshops, and community events.
- Set up program spaces, prepare attendance sheets and sign-in forms, and assist with participant registration.
- Support logistical needs such as preparing refreshments and arranging seating and equipment.
- Enter attendance records, participant information, and program data into spreadsheets or databases.
- Maintain volunteer records, collect feedback forms, and prepare basic summaries and updates for supervisors.
- Assist with youth and community outreach by distributing program information and sending reminders to participants.
- Prepare meeting materials, take notes during planning meetings, and assist with presentations.
- Provide friendly assistance to youth, parents, volunteers, and community members accessing Darmont GivesBack services.

Qualifications
- Currently enrolled in or recently completed a post-secondary program in Office Administration, Business, Social Services, or a related field.
- Strong organizational skills with high attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent written and verbal communication skills.
- Comfortable working with diverse populations in a community setting.
- Ability to handle sensitive information with discretion and professionalism.
Supervision & Mentorship
Participants will receive daily supervision from an experienced manager with more than two years in a supervisory role. Supervision will combine direct oversight with independent work, and formal written feedback will be provided on a scheduled basis. A dedicated mentor will meet with participants weekly in a one-on-one format, providing career-related training, skills development support, and access to relevant learning materials.
